Executive Assistant

Reports To: President/Executive Team

Employment Type: Part-Time/Contractor

Position Overview

The Executive Assistant provides direct support to the President and Executive Team, assisting with administrative, project coordination, research, and technical tasks. This position requires a unique blend of executive-level administrative skills, technical knowledge, and project coordination experience within the engineering, design, and construction sectors.

The ideal candidate is organized, detail-oriented, and proactive, with the ability to support multiple projects and priorities while maintaining a high level of accuracy and professionalism.

Key Responsibilities

Project Support

  • Attend Project Kick-Off Meetings, site visits, and design charrettes to document critical information and action items.
  • Conduct research of City Ordinances and Regulations to complete Project Questionnaires (PQs) and Site Investigation Reports (SIRs).
  • Assist project teams with Quantity Take-Offs and Opinions of Probable Construction Costs (OPC).
  • Prepare preliminary engineering exhibits and scaled drawings in alignment with company Standard Operating Procedures (SOP).
  • Support the President and Project Managers with any other project-related administrative or coordination tasks as assigned.

Administrative & Executive Support

  • Monitor staff job assignments using FACTOR and assist Project Managers in tracking progress and ensuring accountability.
  • Prepare and submit expense reports for the President and Executive Team.
  • Assist the President with drafting, editing, and submitting zoning documents, annexation requests, and other entitlement-related documents.
  • Assist with scheduling, document preparation, and follow-up communications related to project meetings and executive initiatives.

Qualifications

  • Minimum 5 years of administrative or executive support experience, preferably in an engineering, architecture, design, or construction environment.
  • Strong research skills, with experience navigating municipal regulations, zoning ordinances, and development codes.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with project management tools (such as FACTOR or similar platforms).
  • Ability to read and interpret engineering drawings, plans, and specifications.
  • Experience preparing cost estimates and/or working with Quantity Take-Offs is highly preferred.
  • Exceptional organizational skills with the ability to manage multiple deadlines and shifting priorities.
  • Excellent written and verbal communication skills, with attention to technical accuracy and clarity.

Preferred Qualifications

  • Experience working directly with executives in a technical consulting firm.
  • Familiarity with preliminary engineering processes, permitting, and land development workflows.
  • Basic knowledge of AutoCAD, GIS software, or other technical drafting tools is a plus (but not required).
